This guide walks you through connecting SharePoint document libraries to AptEdge. This integration uses Delegated Permissions, meaning AptEdge will only ever see what your designated integration account is permitted to see.
1. Setup a Dedicated Integration Account
Microsoft and AptEdge strongly recommend using a Dedicated Integration Account (Service Account) rather than a personal staff account.
Stability: The integration won't break if an employee leaves or changes their password.
Security: You can precisely control exactly which folders and libraries this account can access, ensuring the Principle of Least Privilege.

Permissions: * The account must have a valid SharePoint/Microsoft 365 license.
Crucial: You must explicitly grant this user "Read" or "Site Member" access to the specific SharePoint Sites and Document Libraries you want to ingest. If the integration account can’t see the PDF, AptEdge can’t search it.
2. Find your Tenant ID
You will need your Microsoft 365 Tenant ID to link your environment.
Log in to the Microsoft Entra admin center.
Navigate to Overview.
Locate and copy the Tenant ID (a long string of numbers and letters).
3. Setup Integration on AptEdge
In AptEdge, go to Admin Settings > Integrations > Knowledge.
Find the SharePoint Site Drive section and click the plus (+) icon.
Enter the Tenant ID you copied earlier.
Click Authorize. You will be redirected to the Microsoft login page.
Important: Log in using the Dedicated Integration Account created in Step 1.

A permissions page will list the delegated access required. Click Accept.
Note: If your organization requires Admin Approval, a Global Admin may need to sign in once to "Consent on behalf of the organization" to allow the AptEdge app to function.
4. Identify and Connect Specific Sites
AptEdge does not crawl your entire SharePoint environment automatically. You must manually add each site you wish to index. To do this, you need the Site Domain and Site Path.

To Connect:
Click Add Sites.
Enter the Site Domain and Site Path.
Click Add Site.
Data ingestion will begin immediately. PDF content typically becomes searchable within 6–7 hours.
5. Selective Data Ingestion & Privacy
We prioritize data privacy by giving you granular control over what is ingested.
PDF Ingestion Only: AptEdge is currently optimized to ingest PDF content from your document libraries. Other file types remain untouched.
Full Authority: We never "guess" which sites to crawl. We only access libraries that you have explicitly added via the Site Domain and Site Path.
Privacy Assurance: Any document library not explicitly added—or any library where the Integration Account does not have permissions—remains completely invisible to AptEdge.
Easy Revocation: If you remove a site drive from the settings, AptEdge stops ingesting new files immediately, and previously ingested data is purged from our search index.
